Acceptable Use Policy

This Acceptable Use Policy (“AUP”) sets out the rules and guidelines governing use of the
OLT ERP Campus Management System, the Eudemonic AI platform,
and the website at https://www.olterp.co.uk
(collectively, the “Services”), operated by OLT ERP Limited
(Company Number 13395085, registered in England and Wales).
By accessing or using the Services, you agree to comply with this AUP. This Policy supplements
our Privacy & Cookie Policy and any applicable licence or
service agreement between OLT ERP Limited and your institution.
1. Who This Policy Applies To
This AUP applies to:
- Institution administrators and staff accessing the OLT ERP CMS or Eudemonic AI platform
- Students whose data is processed through these systems (via institutional agreements)
- Visitors to the olterp.co.uk website
- Pilot programme participants
2. Permitted Uses
You may use the Services for the following purposes:
- Managing student enrolment, attendance, academic records, and campus administration (OLT ERP CMS)
- Accessing aggregated, anonymised student wellbeing analytics for institutional improvement (Eudemonic AI)
- Generating reports for regulatory, compliance, or academic purposes
- Communicating with OLT ERP Limited for support, procurement, or partnership enquiries
- Evaluating the Services during an authorised pilot programme
3. Prohibited Uses
You must not use the Services to:
- Violate laws or regulations — including the UK GDPR, Data Protection Act 2018, Computer Misuse Act 1990, or any other applicable UK or international law.
- Access data without authorisation — including attempting to access records, accounts, or data belonging to other institutions or individuals without proper permission.
- Attempt to compromise system security — including hacking, penetration testing without written consent, deploying malware, or conducting denial-of-service attacks.
- Scrape, harvest, or extract data — using automated tools, bots, or scripts to extract data from the Services without prior written approval from OLT ERP Limited.
- Share credentials — sharing login credentials, API keys, or access tokens with unauthorised third parties.
- Re-identify anonymised data — attempting to link anonymised or pseudonymised student data back to identifiable individuals using the Eudemonic AI platform or any other means.
- Use data for purposes beyond the agreed scope — processing student data for commercial profiling, marketing, or any purpose not specified in your institutional data processing agreement.
- Infringe intellectual property — copying, reproducing, modifying, or distributing any part of the Services, software, or documentation without written consent.
- Transmit unlawful content — uploading, sharing, or distributing material that is offensive, defamatory, discriminatory, or otherwise unlawful.
- Misrepresent identity — impersonating OLT ERP Limited staff, other institutions, or any third party.
4. Data Protection Obligations
When using the Services, you and your institution are responsible for:
- Ensuring all personal data processed through the Services is handled in accordance with the UK GDPR and Data Protection Act 2018.
- Maintaining a valid lawful basis for processing student personal data.
- Providing appropriate privacy notices to students and staff whose data is processed.
- Implementing technical and organisational measures to protect access credentials and prevent unauthorised data access.
- Promptly reporting any suspected data breach or security incident to OLT ERP Limited and your institution’s DPO.
5. Eudemonic AI — Ethical Use Requirements
Given the sensitive nature of student wellbeing data, the following additional requirements apply to use of Eudemonic AI:
- Human oversight — All AI-generated insights must be reviewed and acted upon by qualified human professionals. No automated decisions affecting individual students should be made solely on the basis of Eudemonic AI outputs.
- Cohort-level use — Eudemonic AI is designed for cohort-level analysis. It must not be used to make individual-level surveillance or disciplinary decisions.
- Transparency — Institutions must be transparent with students about the use of wellbeing analytics tools in accordance with their institutional privacy notices.
- No profiling for commercial purposes — Student wellbeing data must not be used for commercial advertising, marketing, or profiling of any kind.
6. Monitoring and Enforcement
OLT ERP Limited reserves the right to monitor use of the Services to ensure compliance with this AUP.
In the event of a breach, we may:
- Suspend or terminate access to the Services without notice
- Notify your institution and relevant regulatory authorities
- Take legal action to recover losses or damages resulting from the breach
- Report criminal activity to the appropriate law enforcement authorities

If you become aware of any use of the Services that violates this AUP, please report it to us immediately:

8. Changes to This Policy
OLT ERP Limited may update this Acceptable Use Policy from time to time. We will notify institutional
administrators of material changes. Continued use of the Services following notification of changes
constitutes acceptance of the updated policy.
9. Governing Law
This AUP is governed by the laws of England and Wales. Any disputes arising from this
policy shall be subject to the exclusive jurisdiction of the courts of England and Wales.
